BIT Maintenance lets you keep track of recurring maintenance tasks for your whole fleet.
The Maintenance tools in the web portal at blueinktech.com include the Work List, where scheduled tasks show by due date to be completed, and Scheduled Tasks, where you can create and manage all maintenance types.
To view or create tasks for recurring maintenance, select Maintenance from main navigation, then select Scheduled Tasks. Click below to skip ahead to the section you need:
Create a New Recurring Task
Click the CREATE TASK button at the top right of the page to get started.
First, select whether this task will be recurring or one-time. Recurring will be selected by default. One-time maintenance tasks work differently, so please read Schedule One Time Maintenance Tasks to follow along with managing non-recurring tasks.
Next, enter the Maintenance Type. This could be Oil change, Annual inspection, Fluid check, or any other recurring maintenance you wish to schedule.
Set the interval for how often the task should be completed. You can set the interval by miles, operating hours, months, or days.
Click the CREATE button at the bottom of the panel to save your new Maintenance Type settings.
The next screen is the Task Details page, where vehicles can be scheduled for this maintenance.
Schedule Equipment
Multiple trucks and trailers can be scheduled for each recurring maintenance task. Click the ADD EQUIPMENT button to select vehicles or trailers that need the maintenance type done.
- Time-based tasks set by days/months can be assigned to vehicles and trailers.
- Engine-based tasks set by odometer/operating hours can only be assigned to vehicles.
- Only vehicles with BIT Full Service can be scheduled for maintenance.
Once all desired vehicles and trailers are selected, click SUBMIT.
All the equipment will be scheduled at the end of the task's measured interval. For example, if the task is set for every 30k miles, then each vehicle will show 30k miles remaining before the maintenance is due.
Click EDIT on the equipment row to set its due date based on when the maintenance was last completed.
Remove any equipment that doesn't need this maintenance done by clicking DELETE.
Mark Tasks Complete
Maintenance tasks can be marked completed on this screen, or it can be done on the Work List.
Click COMPLETE on the equipment row.
It will automatically reschedule for the next interval. Click in the field to edit if another date or mileage is needed. Click SUBMIT.
View Completed Work
Click the toggle above the scheduled vehicles list to turn on View Completed Tasks. This view shows the completion history for all equipment that had this maintenance marked as complete. It shows the equipment name, date the work was completed, and who marked it complete.
Edit Task Details
The left panel of the Task Details page shows the Name, Interval, and Interval Type. Click any of these fields to edit them.
Delete Recurring Tasks
Recurring tasks can be deleted two ways. The first is to click the three dots at the top of the left panel on the Task Details page. The second is to go back to the Task Types page where all maintenance types are shown.
Check the box next to one or more tasks that need deleted. Click the "Delete" option in the table header. Confirm to delete all selected tasks.
